Email PDF Invoices from QuickBooks to Customers

The sample project featured in this article has built-in templates for retrieving QuickBooks invoices and creating PDF invoices from them, as well as a map script that will transform the XML structure of a QuickBooks invoice to the structure of the invoice document, ready to be exported to a PDF. In addition, the resultant PDF invoice document can be sent to the relevant customer via Email. The connectors are configured to automatically move files from one connector to the next until the invioces from Quickbooks are emailed to customers.

You can schedule the application to poll QuickBooks for new records from the QuickBooks port Automation page, or manually process files using the Receive button from the Receive tab of the QuickBooks connector.

In order to configure the example, please follow these steps:

  1. Go to the Ports tab and click the Import Settings button. In the dialog that appears, choose the file to import the project's settings and port configurations.
  2. After you have imported the sample, start by selecting the QuickBooksOnline port and navigating to the Settings tab. If you have not already installed the QuickBooks port, the application will prompt you to install it.
  3. From Settings, to connect to your QuickBooks Online account, use Connect button. This will take you to the Intuit App Center login page. Please enter your account credentials and authorize Intuit to securely share your data with RSSBus Connect. After setting these credentials correctly, you will be able to see the Disconnect button signifying that your account is connected.
  4. Next open the PDF port and navigate to the Settings tab. Here, you will need to specify a standard invoice template that the port will use to generate invoices.
  5. You also need to establish a connection to your Email SMTP server. To do this, please open the SendEmail port and navigate to the Settings tab. Here, please configure your SMTP server's host along with your email address and password. After setting these credentials, click the Test Connection button to verify that you can connect to your Email account from RSSBus Connect.
  6. To test this flow, please navigate to the Receive tab of the QuickBooks port. Click the Receive button to begin retrieving invoice records from QuickBooks.
